Job Summary

We are seeking a dedicated and friendly Veterinary Client Care Representative/Receptionist to join our team. As the first point of contact for our clients, you will play a crucial role in creating a welcoming and positive environment for both pets and their owners.

Responsibilities

  • Greet clients and their pets with a warm and friendly demeanor, ensuring a positive first impression.
  • Schedule appointments, surgeries, and procedures accurately and efficiently using our practice management software.
  • Answer phone calls, address client inquiries, and provide information about our services and pricing.
  • Collect and update client information, including contact details, medical history, and insurance information.
  • Maintain a clean and organized reception area, ensuring it reflects our commitment to cleanliness and professionalism.
  • Assist with patient check-ins and discharges, ensuring accurate completion of necessary paperwork.
  • Coordinate and process client payments, including invoicing and insurance claims, with utmost attention to detail.
  • Collaborate with veterinary technicians and veterinarians to ensure efficient workflow and exceptional client service.
  • Maintain inventory of office supplies and perform general administrative duties as needed.
  • Continuously update knowledge of veterinary practices, services, and products to provide accurate information to clients.

Requirements

  • High school diploma or equivalent.
  • Previous experience in a customer service or receptionist role, preferably in a veterinary or healthcare setting.
  • Strong communication and interpersonal skills with the ability to interact effectively with clients, team members, and veterinarians.
  • Compassion and empathy towards animals and their owners.
  • Excellent organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in using computer systems, including practice management software and Microsoft Office Suite.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • Flexibility to work weekends, evenings, and holidays as needed.

Preferred Qualifications

  • Experience working in a veterinary clinic or animal care facility.
  • Familiarity with veterinary medical terminology.
  • Knowledge of pet insurance claims and billing procedures.
